All recreational vehicles will be confirmed by size and category only. If reserved unit is not available for any reason at the time of departure, we may, at our sole election, substitute a similar unit or refund any rental fee or deposit that has been collected. This is the sole extent of our liability and but for this express limitation, we would not provide any reservation of a rental unit. Any RV rented for less than a one-week period is on an availability basis only and any reservation for such a unit is only an accommodation.

We welcome International and Inter-State Visitors to the beautiful Seattle area and look forward to helping make your stay a fantastic one. We offer long-term rentals for those who are remodeling, building a new home, hosting extended-stay guests, or who have had to vacate their home because of flood or fire.

Our rental department also has several production RVs designed for on-site office or changing-room use by film crews in the Pacific Northwest. Celebrities such as Tom Hanks, Meg Ryan, Drew Barrymore, Kevin Costner, and Sylvester Stallone have enjoyed the use of our motor homes during the filming of their movies. Whether you need the RV for a day, or need a long-term rental with cell phone, cell fax and chauffeur, we are here to provide you with the RV you need.

Western Motor Coach Rental Terms for travel between 01-Jan-2007 and 31-Dec-2010

  1. The relationship between parties to this contract in that the Lessor, and Lessee is not, and shall not hold himself out to be an agent or employee of Lessor, or in any other capacity other than Lessee.  Lessee shall have no authority to represent or make any commitment binding upon lessor.  Lessee may not assign or sublet the RV or Van described herein.

   2. Lessee acknowledges that he has carefully examined the RV or Van and all the additional equipment, utensils, and furnishings and acknowledges receipt of same in good condition.  Lessee agrees to pay lessor the value of any equipment or furnishings, which are lost, stolen destroyed, or damaged while in the possession, care or control of Lessee.

   3. Lessee agrees to maintain the RV or Van in strict compliance with the manufacturer’s suggested maintenance procedures and in accordance with Lessor’s instructions given to Lessee, and to periodically examine the RV or Van , including tires, oil, water, transmission and all other fluids levels as applicable.

   4. Normal maintenance and road repairs, including necessary oil and lubricant expense, are provided by Lessor.  Expenditures for repairs will be credited toward total rental charges, upon receipt of proof (including replaced parts) that said expenditures were incurred.  Lessee agrees to contact Lessor by telephone at Lessor’s expense if any repairs in excess of $75 are required, to obtain Lessor’s authorization for repairs at an authorized agency, and to keep record of the same.  Any such authorization given shall not constitute  waiver of Lessor’s right to charge Lessee for such repairs if, in the opinion of Lessor, such repairs were due to negligence, misuse or carelessness by Lessee.  Lessee shall not permit any lien to be put on the RV or Van.

   5. All overhead damage, damage to tires and wheels, damage to the step or undercarriage of the vehicle, interior damage, windshield or glass damage, damage to the awning, misuse, or carelessness are the responsibility of the Lessee.  This liability is in addition to the collision responsibility provided to Lessee.  

   6. In the event of a breakdown wherein the RV or Van is inoperable or livable for 24 hours or more, Lessor’s responsibility shall be limited to reimbursement of rental rate for the day(s) lost only.  Radio, air conditioning, refrigerator, cruise control, microwave generator, or other malfunctions of convenience items are not considered breakdowns, and no refunds will be made for these items.

   7. Lessor will maintain liability for the property damage and bodily injury as well as uninsured motorist, collision and comprehensive in at least the minimum amount required by law.  Lessor’s coverage is void in Mexico.  Lessee shall be responsible for all claims, demands or liabilities whatsoever in excess of such limits.  Lessor shall not be liable for any damage to the property or injury to the person, including death, resulting through the use, operation or possession of the vehicle, and lessee shall hold Lessor harmless from liabilities resulting from such damages or injury.  If lessee’s automobile insurance covers any lose or damage resulting from the operation of any rented vehicle, Lessee shall exercise all rights available under said insurance, take all action necessary to process said claim, and further agrees to assign said claim and any and all proceeds from insurance to Lessor.

   8. In the event of an accident, Lessee will advise Lessor within 24 hours and submit a full written report to Lessor within 72 hours.

   9. Lessee agrees that the RV or Van will only be operated by Lessee unless prior arrangements have been made for other drivers to operate the vehicle.  Lessee further agrees that any individual who is under the influence of alcohol or narcotics of any kind will not operate the vehicle.  Lessee agrees that the vehicle will not be used for any illegal purpose , be driven over rough terrain, be used for towing another vehicle or trailer (unless authorized by Lessor) or be driven in excess of safe speed with regard to prevailing conditions.  Lessee agrees to pay all traffic and parking violations.  

  10. The number of miles over which the vehicle shall have been driven pursuant to this contract shall be determined by reading the odometer attached to the vehicle, with which the Lessee agrees not to disclose or otherwise tamper with.  Any tampering with the odometer shall entitle the Lessor to set an arbitrary charge equal to 1,000 miles per day of use.

  11. Lessee agrees to return the RV or Van in the same condition as when rented.  Upon departure fuel tanks are full and must be refilled to avoid a $45 refilling charge plus $5.50 per gallon.  Holding tanks must be dumped and flushed to avoid a $99 charge and the unit must be clean inside and out or a cleaning charge will be assessed.  Most motorhomes have an onboard generator, which if used will be charged a $4 per hour or $6 per day prepaid.  

  12. Lessee agrees that in the event Lessor is unable to make the RV or Van available to the Lessee for the term of this agreement all prepayments by Lessee will be refunded and further agrees that Lessor shall have no liability beyond this refund.  

  13. Lessee agrees that no credit or refund will be given if the RV or Van is returned prior to the expiration date of this contract, and in such event, Lessee will still be required to pay all charges as if the RV or Van were returned at such dates.  Lessee further agrees to pay upon demand by Lessor any rental fees lost or liabilities incurred by Lessor due to Lessee holding the RV or Van beyond the term of the contract.  Lessee further agrees to pay upon demand , by Lessor, any rental fees lost to, or liabilities incurred by Lessor due to down time of the unit for repair of damage or collision damage caused by the Lessee.

  14. In the event the RV or Van is not returned by Lessee to Western Motor Coach, 19303 Highway 99, Lynwood, WA 98036, Lessee agrees to pay, upon Lessor’s demand, in addition to all other sums payable and all other liabilities incurred under this contract, a full days charge for each day or fraction thereof, plus $4.00 per mile, unit the unit is recovered and returned.  Warning: “Failure to promptly return the leased property may result result in criminal prosecution” as provided by RCW 9.45.062.  

  15. In the event of a breach of any of the terms and provisions of the contract by Lessee, Lessor may, without prior demand, take possession of the RV or Van by entry upon Lessee’s premises if necessary, with or without due process of the law.  In the event of any breach, Lessee shall be liable for all the expenses incurred by Lessor, including reasonable attorney’s fees and court costs expended to enforce collection, and in addition, Lessee shall be liable for all damage suffered by Lessor as a result of breach.

  • Western reserves the right to substitute a similar unit if at the time of departure, the unit reserved is unavailable.
  • Damage deposit refunds will be made within 10 days of rental return provided there is no damage to rental unit.
  • Lessee agrees that motorhome will not be occupied by a greater number of persons than indicated as being the maximum capacity for the vehicle hired.
  • Lessee is prohibited from taking motorhome into Mexico  and due to potential overheating problems vehicles should not be  driven to the desert areas.
  • Vehicles may travel to Alaska with prior approval.
  • Smoking is not permitted inside the vehicle.
  • Pets are not permitted inside the vehicle
  • Rental days are based on number of nights the unit is used, each night constitutes one rental day.  The unit must be dropped off between 9am and 11am only, returns after 11:00 am are subject to a $50 per hour late charge.
  • There will be no credit or refund given if the motorhome is returned prior to the completion of your rental.
  • Check-out of RV is done per scheduled appointment.  If your appointment is not scheduled when your reservation is taken, please call 2-3 days prior to pick-up date to confirm your scheduled pick-up time.
  • Mileage over the "free" miles included with the daily rental rate will be charged per mile based on the size of the rental unit.  Any mileage traveled above 200 per day average will be assessed an additional  mileage surcharge of 40¢ per mile.
  • In the event lessor is unable to make the motorhome available to lessee for the term of this agreement, all prepayments by lessee will be refunded.  Lessor shall in no event have any liability beyond this refund.
Payment Terms
Western Motorcoaches require a $500 reservation/damage deposit at the time of confirmation, this will be in addition to the total advertised cost off your rental. Western Motorcoaches will accept the following payment methods for this security bond which will be returned to you in full at the end of the rental if it is returned in a clean and undamaged condition as per full terms and conditions.

Cancellation Clauses
Further to the non refundable Booking deposit,  Western Motorcoaches as owners of the vehicle impose the following additional clauses in the event of a cancellation:
Additional cancellation fee is $100.00 prior to 31 days of departure. 
NO REFUNDS will be made within 30 days of departure. - 100% of the cost of the rental will be taken from your nominated credit card if your rental is cancelled within 30 days of departure.
No personal checks accepted within 14 days of departure.

On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.

Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.


Western Motor Coach Insurance

Insurance Information

Standard Insurance Basic Insurance is included in your rental with minimum state statutory limits including liability, uninsured and under insured motorist and medical payments.  The renter is responsible for comprehensive, collision and all damage to the vehicle.  Our Vacation Interruption Plan (VIP), when purchased, will reduce your comprehensive/collision responsibility to $1,000 per accident.

 Vacation Interruption Plan (VIP)

This plan is a smart way to minimise your financial burden in the event of an accident or mechanical breakdown.  It is $15 per day ($60 minimum and $300 maximum).  The VIP option reduces your comprehensive and collision responsibility from unlimited responsibility to $1,000 per accident.  If the motorhome is not drivable during the rental for a period of more than 24 hours due to a mechanical breakdown, the VIP option will reimburse you $100 per day for lodging and/or transportation for up to a maximum of $1,000 per rental.  It will additionally reimburse the renter for the paid daily rental rate.

Collision Deductible Reduction (CDR)

You are responsible for any and all comprehensive and collision damage to your rental. for the nominal charge of just $15 per day, we can reduce your responsibility to $1000 per accident for class A or $500 for Class C rentals (per accident). This option also includes VIP coverage, which will reimburse up to $100 per day ($1000 maximum) for hotel and/or auto rental in the event of an accident or breakdown, in which your rental is not available to you for a period of 24 hours or longer. if you are not interested in purchasing this coverage, you are required to submit an insurance binder that shows that the unit you are renting and our company has been additionally insured to your coverage. In addition you will be required to pay a damage deposit of $2500 (because we have had problems recovering payment from some insurance companies) instead of the $500 required for those purchasing our coverage.

Our physical branch is in Lynwood. This is 25 miles north of central Seattle. We do not offer Pick up / Shuttle services to / from Seattle or Seattle Airport. We recommend that you catch a local Super Shuttle Service if you are travelling with 4 or more people. Travel time from central Seattle will be 40 - 45 mins and the cost would be around $100 for your group in a Super Shuttle. Or if you are travelling with 3 or less people you would be better to catch a Taxi. Cost would be around $40 one way. Western Motorcoaches are happy to help you organise your pick up and drop off arrangements, but all costs of transfers will be the responsibility of you the renter.
